Privacy and security in organizations

The Organization plan can better control the privacy and security of your business.

Privacy and security

Motiff highly values your data security and privacy. By leveraging advanced security features, establishing a thorough security framework, and developing an effective system for security development and operations, we can build a strong security barrier for organizations.

Motiff has implemented strict policies and comprehensive plans for data collection, transmission, and storage processes. We rely on HTTPS with TLS 1.2 or higher to transmit data, and all data, both in transit and at rest, is encrypted. This includes data in databases, underlying storage, backups, replicas, and snapshots.

Motiff employs strict data usage and access policies, adhering to the principle of minimal access rights. We conduct regular audits covering data, permissions, and activities. Data between customers is isolated from each other. Employees are not allowed to access user data without authorization. File and draft ownership

The organization has ownership over all the files created within the organization, including files in members' Drafts.

When you remove a member, all their teams, files, and projects will be retained in the organization. Files in Drafts are moved to a shared project accessible to all organization administrators, who can access these files and decide whether to delete or reassign them.

There are a few ways members can get access to files in an organization:

  • A member invites them to the file.
  • A member invites them to a team or project.
  • They open a link to a Motiff file via link sharing.

Members with Can edit permission on the file can configure the scope and permissions for link sharing:

  • Members in the organization with the link can edit: Users with organization email domains can edit the linked file.
  • Members in the organization with the link can view (Default): Users with the organization email domain can view the linked file.
  • Members in the organization with the link can view prototypes: Users with the organization email domain can view the prototypes.
  • Anyone with the link can edit: People inside and outside the organization with the link can edit the linked file.
  • Anyone with the link can view: People inside and outside the organization with the link can view the linked file.
  • Any with the link can view prototypes: People inside and outside the organization with the link can view prototypes.

Organization administrators can restrict external link sharing in their organization. This prevents anyone outside the organization from accessing files through file links.

Members and access permissions

In an organization, every member has a seat and an account type. This controls what they can access and how they interact with the organization, such as the teams, libraries, and shared fonts.

  • Organization members are people whose email domain matches the official organization domain. They have access to teams, libraries, and other resources shared within the organization.
  • For visitors whose email domains do not match the official organization domain, they can only access resources to which they have been specifically invited.

Manage seats

Everyone in the company has a seat. You can restrict someone's ability to edit files in the team by removing their designer seat.

Activity logs

Activity Logs record user interactions with files and resources, which allows you to track activities within your organization:

  • View the time when files were accessed, copied, and shared.
  • Trace changes made to team, project, and file permissions.
  • View the actions of specific members.
  • Trace changes made by organization admin to organization-level settings.
  • Identify and prevent misuse of any organization resources.
