Organization plan permissions

On the Organization plan, you have five levels of sharing permissions: Organization, Team, Project, File, and Prototype.

The Organization plan is a paid plan, where you can set additional sharing permissions:

  • Share prototype links.
  • Restrict viewers from copying, exporting, or sharing files.
  • Set password protection for files.

Organization

In an organization, the organization admin can manage the account types and seats within the organization. They can also control the access permissions for various teams, projects, and files in the organization.

Account types

Everyone in the organization has an account type. The account type determines the resources they can access within the organization. This includes organization-level resources, such as teams, design systems, and shared fonts. There are three types of accounts: Members, Guests, and Admins.

Note: You can only invite guests to teams, projects, or files within the organization. You can't invite them to the organization. Learn more about Members and guests of an organization.

Seat type

A person's seat type determines the activities they can perform in the files and their billing status. Motiff's seat types are: Designer seat, Developer seat, and Viewer seat. Designer seats and Developer seats are paid seats.

Permissions

A person's permissions determine their access to specific teams, projects, and files within the organization. Learn more about sharing and permissions.

Teams

Based on the access permissions of organization members to teams, Motiff supports three types of team visibility: Open, Closed, and Secret.

Motiff has three categories regarding the access permissions of organization members:

  • Open: Members in the organization can view files and join the team with Can view permission, but joining with Can edit permission requires approval by an admin.
  • Closed: Members in the organization can see the name of this team but have to request to join and be approved by an admin.
  • Secret: Members in the organization cannot see or find this team unless they have been invited to join.

The team supports three types of permission: Can view , Can edit , and Admin . Different permissions restrict members' actions on the team, such as moving or deleting team files.

Organization members can join multiple teams within the organization. Team permissions are used to control the access level of each member.

Note: Team permissions only determine the actions members can perform at the team level, while their permissions at the file level are determined by their seat type. Organization admins can adjust the seat type of members.

Team actions

The permissions table includes a list of common team-level actions and tasks in Motiff. ✓ and ✕ indicate whether someone with that permission can or can't perform that action.

Manage team

Projects

Permissions of members at the project level default to their team-level permissions. For example: If user A has Can edit permissions at the team level, they also have Can edit permissions at the project level.

In the Organization plan, Motiff supports configuring permissions on projects that are different from the team settings. You can set permissions for the team members on a project and invite non-team members to join the project for collaboration.

Team members' permissions on a project include four types:

  • Inherited access: Team members have the same permissions on the project as they do on the team. This is the default configuration for a project's permissions for team members.
  • Can edit: Team members can edit the project.
  • Can view: Team members can view the project.
  • No access: Team members cannot access the project. This is very suitable for projects that require small-scale collaboration or are confidential. For example: A few team members building and maintaining the design system.

Tip: Only the project owner or those with Can edit permission can change a project's team access.

File

On the Organization plan, members' permissions at the file level default to their project-level permissions, not their team-level permissions. For example: If user A has Can edit permission at the team level and Can view permission at the project level, they will have Can view permission at the file level. Members with Can edit permission can configure permissions for files independently.

You can set the following sharing permissions at the file level:

  • Prototype permission: Members can configure permissions of prototypes for collaborators and invite them to view the prototype directly without granting access to the entire file. This is the default permission when sharing from the presentation view.
  • Restrict viewer actions: Members with Can edit permission for a file can disable members with Can view permission from copying, exporting, or sharing the file.
    1. a.Click Share in the top right corner of the file to open the Share file modal.
    2. b.Click '16_Panel_Adjust.svg' in the bottom right corner of the modal. Uncheck Allow viewers to copy, share, and export from this file.
  • Link sharing settings: On the Organization plan, you can configure link sharing permissions for files in the team. This determines the default permission settings for external collaborators accessing the file via link sharing. Members with Can edit permission for a file can configure link sharing settings:
    1. a.

      Enable or disable link sharing: Once the link sharing is disabled, only invited members can access the file.

    2. b.

      Configure the scope and permissions of link sharing:

      • Anyone with the link can view: People inside and outside the organization with the link can view the linked file.
      • Anyone with the link can edit: People inside and outside the organization with the link can edit the linked file.
      • Any with the link can view prototypes: People inside and outside the organization with the link can view prototypes.
      • Members in the organization with the link can edit: Users with organization email domains can edit the linked file.
      • Members in the organization with the link can view (default): Users with the organization email domain can view the linked file.
      • Members in the organization with the link can view prototypes: Users with the organization email domain can view the prototypes.
    3. c.

      Set a password: You can check Need password to require users with link to enter a password to access. You can also reset the password by clicking '16_Panel_Reset.svg' next to the password. This helps you further control the access permissions of the files.

Drafts

Everyone has access to files in the Drafts. These files are separate from those in the team.

In the Organization plan, you can invite collaborators to access your draft files and configure Can view and Can edit permissions.

If a member with a Viewer seat shares a file in Drafts, this is considered a seat upgrade action. For example, if they share a design file, they will be upgraded to the Designer seat.

Note: Files in Drafts are owned by the organization. When a member leaves the organization, Motiff also adds his drafts to the shared projects of all organization admins.
